2. PURPOSE OF THE ROLE
The Project Assistant provides essential operational and administrative support to Gaza Office under the direct supervision of the Project Coordinator. The role is central to the smooth running of day-to-day project activities, including supporting training sessions, outreach, data collection, event logistics, and general administration. This is an entry-to-mid level position suited to a motivated individual who is eager to contribute to entrepreneurship and community development in Gaza.
3. KEY RESPONSIBILITIES
3.1 Startup Competition Support
- Assist the Project Coordinator with the administration of all phases startup competition, including data entry, applicant communications, and record-keeping.
- Support the preparation of competition materials, scoring sheets, and participant packs.
- Help coordinate logistics for pitch events and competition sessions as directed.
3.2 Training & Capacity Building Support
- Assist in the logistical preparation of training sessions, workshops, and boot camps, including room set-up, materials printing, and equipment coordination.
- Maintain attendance registers, feedback forms, and participant records for all sessions.
- Follow up with participants regarding session schedules, reminders, and required documentation.
- Support facilitators and trainers on the day to ensure smooth session delivery.
3.3 Outreach & Community Engagement Support
- Support targeted outreach activities to identify and recruit eligible project participants, including community visits and distribution of information materials.
- Assist in maintaining contact lists and databases of participants, stakeholders, and community partners.
- Represent GlocalShift professionally in community settings under the guidance of the Project Coordinator.
- Contribute to social media updates and visibility materials as directed.
3.4 Monitoring, Evaluation & Reporting Support
- Support data collection activities including participant surveys, attendance tracking, and beneficiary registration.
- Enter and organise M&E data accurately into project tracking tools and spreadsheets.
- Assist in the documentation of project activities, success stories, and case studies.
- Flag any data gaps or inconsistencies to the Project Coordinator promptly.
3.5 Event & Logistics Support
- Provide hands-on support during all project events including launch events, demo days, networking sessions, and award ceremonies.
- Assist with event logistics including set-up, registration, participant management, and pack-down.
- Coordinate transport, catering, and material needs as directed by the Project Coordinator.
3.6 Administrative Support
- Maintain organised filing systems for project documents (digital and physical).
- Support procurement processes, expense tracking, and petty cash management in line with GlocalShift procedures.
- Provide Arabic/English translation and interpretation support as needed.
- Perform any other duties as reasonably requested by the Project Coordinator or Palestine Country Manager.
4. QUALIFICATIONS & EXPERIENCE
Essential
- Bachelor's degree or equivalent in Business Administration, Social Sciences, Development Studies, Communications, or a related field. Candidates currently enrolled in a relevant degree programme will also be considered.
- Minimum 1 year of experience in a project support, community outreach, or administrative role (including internships or voluntary experience).
- Experience supporting the organisation of events, training sessions, or community activities.
- Good attention to detail and ability to maintain accurate records and data.
- Strong interpersonal skills and a proactive, team-oriented approach to work.
- Good communication skills in Arabic (required); working knowledge of English is an advantage.
- Basic proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Willingness and ability to work in the Gaza Strip under challenging operating conditions.
Desirable
- Interest in or exposure to entrepreneurship, youth empowerment, or startup ecosystems.
- Knowledge of the local Gaza context and existing community networks.
- Familiarity with basic M&E concepts and data collection tools.
- Experience supporting NGO or donor-funded project activities.

6. REPORTING & WORKING ARRANGEMENTS
The Project Assistant reports directly to the Project Coordinator. The position is based in the Gaza Strip, with field-based work across project target communities.
